Job Description:

As Business Support, you will play a crucial role in ensuring the smooth operation of our offices and tender processes through:
ï‚· - Organisational efficiency
ï‚· - Communication management
ï‚· - Record keeping
ï‚· - Office supplies management
ï‚·-  Staff support
ï‚·-  Customer service
ï‚·-  Financial tasks
ï‚· - Compliance support
The position will work closely with the Directors, General Manager and Team Leaders.

 

Key Responsibilities:

​- Responsible for all things administrative, ensuring general management of the office by
overseeing operational efficiency, effective communications in compliance with company
policies and procedures.
- Manage incoming phone calls and correspondence (e-mail, letters, packages etc.) Daily
ï‚· Greeting office visitors and assisting with enquiries
ï‚· - Meeting and event planning 
ï‚· - Manage travel arrangements for all staff as required 
ï‚· - Attend nominated meetings and take minutes, prepare agendas, action items and follow
up actions with Team Leaders
ï‚· - Track stock of office supplies and place orders when necessary
ï‚· - Ensure buildings and surrounds are maintained and arrange repairs as required
ï‚· - Assist in management of the company social media accounts
ï‚· - Maintain document management system, compliance and issue resolution assistance for
staff and liaise with software provider.
ï‚· - Manage company templates within document management system
ï‚· - Assist Senior Management and HSEQ Manager in preparing for and conducting internal/
external audits. This is inclusive of closing out actions as required.
ï‚· - Undertake general data entry, filing and archiving
ï‚· - Assist staff in the management of company vehicles and equipment, including regular
discussions with suppliers, organising repairs, replacements, quotes, etc.
ï‚· - Liaise with Senior Management, staff and IT Consultant to maintain IT infrastructure
including software and software licences
ï‚· - Provide organisational and administrative support to Directors, General Manager and
Team Leaders.

- Assist General Manager onboard new employees including creation of employment
packs, circulation and completion of all onboarding requirements.
ï‚· - Assist all staff in completion of timesheets. Work with General Manager to review reports
and follow up staff to ensure timesheets are complete.
ï‚· - Assist General Manager handle a variety of complex and confidential situations which
require a high level of maturity of judgement, discretion and confidentiality.
ï‚· - Submit timely reports and prepare presentations/proposals as assigned
ï‚· Organise staff development and training as approved by Senior Management As required
ï‚· Run reports for Senior Management, assisting with end of month tasks Monthly
ï‚· - Provide input into the development of new systems, procedures, and processes in order
to improve efficiency and effectiveness within the department
ï‚· - Complete tasks as required across multiple locations which may require nights away from
home
Proposals
ï‚·-  Set up proposals in Deltek, Harvest and Smartsheet as required
ï‚· - Manage tender email folder. Review and advise the business on appropriate
opportunities with Team Leaders
ï‚· - Organise proposal kick off meetings as required
ï‚· - Assist the Proposal Manager to ensure proposals are completed to CAF’s standards and
are submitted on time
ï‚· - Assist Proposal Manager in creation of submission documents as required e.g.
schedules, fee estimates, letters, etc
ï‚·-  Liaise with CAF’s wider team to obtain information as may be required to complete a
proposal
ï‚· - Ensure proposal information in Deltek is maintained and up to date

Required Experience:

- Minimum 5 years previous experience working in a business support role whether team or for a director / senior management team.
- Preference for previous experience in engineering, construction or similar professional services sectors

Qualifications:

  • Completion of Year 12 High School

  • ï‚· Bachelor’s Degree/ Diploma or qualifications in Office Administration or relevant studies

Drone Operator

Job Description: We are seeking a skilled and experienced Drone Operator to join our team. As a Drone Operator, you will be responsible for piloting and maintaining both aerial and boating drones to capture high-quality footage, conduct surveys, and support various projects. You will also operate 3D scanning equipment for scanning of various sites and plant.

CAF Consulting (CAF) is a multi-disciplined engineering consultancy with an established client base and solid long term work prospects in urban and rural water infrastructure, agribusiness, UAV (drone) and scanning survey technologies, rural and urban development, civil and structural engineering, construction and project management, transport, resources, energy and building. CAF work across a range of projects; residential, commercial, industrial, civil, agriculture, roads, drainage, etc. and require a Licenced Surveyor to undertake the following as required by our scope of works. ï‚· Cadastral Survey ï‚· Creation and lodgement of ePlans From time to time a Licenced Surveyor may also need to assist the Survey team with: ï‚· Feature and level surveys ï‚· Construction set out surveys ï‚· As constructed surveys ï‚· Preparation and uploading of 3D models for machine control ï‚· 3D scanning and data processing ï‚· Preparation and completion of data using AutoCAD/ Civil 3D The Licenced Surveyor will be required to work autonomously and be responsible for the survey component of a project from start to finish. Water Engineer

The Water Engineer will be assisting the Water Infrastructure Team across a variety of projects from concept to detailed design/ engineering, as constructed drawings and project close. Drafting and design tasks will be carried out using AutoCAD, Civil3D, Civil Site Design or equivalent. Other aspects may include project management of site works.

Key Responsibilities

- Assist Senior staff with highly complex projects, as instructed. 

- Manage moderately complex projects from beginning to end. 

- Represent CAF at client meetings for assigned projects. 

- Advise clients on technical solutions for projects with varying scope and complexity. 

- Assist with the development of submissions for projects, in consultation with Senior staff. 

- Brief, assign and check work of assisting engineers, draftspersons and/or technical / administrative assistants as required, throughout the project life. 

- Exercise individual judgement and initiative in the application of engineering principles, standards, techniques and methods in order to achieve client solutions. 

- Supervision of construction works, including inspection of work on site, responses to contractor queries and problem solve site issues. 

- Provides regular work-in-progress reports to Senior staff. 

- Ensures constant communication with colleagues, clients, project team etc (as appropriate), throughout the life of the project. 

- Is aware of costs and constraints on projects and reports any inconsistencies to senior staff.

- ï‚· Assist with developing new systems, procedures and processes in order to improve efficiency and effectiveness within the department. 
- Maintains compliance with CAF Quality, OHS, Environment and HR policies, procedures and guidelines. 

- Report non-conformances to Senior staff as soon as they are discovered. 

- Assist in coaching and mentoring of junior team members. 

- Reports any likely business opportunities to Senior staff for follow up. 

- Actively build personal network and promote CAF to external clients.

Required Skills

ï‚·- Demonstrated Civil design exposure to water, sewer, drainage, pumps and associated infrastructure. ï‚· - Understanding of water and wastewater treatment. 

- Demonstrated working knowledge of Australian Standards and other industry design guidelines 

- Demonstrated CAD experience and working knowledge, Civil 3D Site Design desirable. 

- Excellent internal and external communication skills (both written and verbal) 

- Client relationship management skills 

- Demonstrated experience to successfully manage moderately complex projects independently 

- Ability to initiate action to achieve results and meet deadlines 

- Ability to adapt ideas, timelines and communications appropriately as the project requires 

- Proven ability to manage varying types of concurrent projects 

- Strong work ethic with a high level of personal motivation

Required Experience

- Minimum 3 years of experience as an Engineer within defined discipline 

- Registered Professional Engineer under the Victorian Professional Engineers Registration Act 2019 or eligible to apply
